Intra Patient Management System

The Business Problem

The incumbent patient management system was built on the MS Dynamics 365 platform and was deemed not fit for purpose to meet Intra’s requirements, including regulatory and compliance standards. In addition, it did not support HL7 messaging capability, which constrained systematic exchange of data and content between various administrative, financial and clinical systems within the New Zealand healthcare industry.

The Fix

Intra identified an Australian based solution,  HealthTrack, as being fit for purpose for their patient management system requirements. 

Whilst HealthTrack had its own implementation team and project manager, they were based in Australia. Key to the success of this engagement was Intra’s engagement of Luminate’s project manager and business analyst, to hold all parties to account in respect of cost and meeting milestones, delivering project artefacts, and the set-up of a simple, right-sized, governance structure.

The Outcome

Successful delivery of a new patient management solution that worked seamlessly from Day One, addressing all regulatory and compliance requirements and providing systematic and secure data exchange across clinical systems internally and across the wider New Zealand healthcare sector.

Lessons Learned

  1. Establishment of project leadership, team and governance structure and detailed analysis, was key to the rapid issue identification and fast decision making.
  2. Highly accessible project sponsorship from the CEO was vital to the success of this project.
  3. Establishment of a right-sized governance structure and project controls provided the stability required to deliver a business-critical project.
  4. Definition, validation and management of scope and roles and responsibilities to support the vendor management process.
